Ssabi vs Flex Rental Solutions: which one fits your production company?

Where Flex is the better choice

RFID and the warehouse. Flex tracks assets with RFID as well as barcodes, which means a touring truck can be scanned in and out by the case rather than by the line. If your business ships the same racks to forty cities a year and the warehouse is where money leaks, Flex's tooling is deeper than anything Ssabi ships today. Ssabi's warehouse works from pull sheets generated from the job, picking and returns logged against them, and a wall display for the floor, and it does not scan labels.

Unlimited users on a published price. Flex states its plans start at USD 510 per month with unlimited users. For a large production company with many planners, project managers, and warehouse staff who all need a login, a price that does not count seats is a real advantage, and you can read the starting number without a call. Ssabi's fee is set by modules and team size and is scoped in the demo.

Pedigree in the highest-stakes rooms. Flex describes fifteen years powering touring, awards shows, and sporting events, and that shows in the depth of its rental-specific vocabulary: kits, packages, reservations, manifests. If you need a vendor whose references are the shows your competitors worked, Flex has them and Ssabi, in early access, does not yet.

Where Ssabi is the better choice

The three numbers that drift. The quote, the warehouse count, and the invoice are usually three records kept by three people, and month-end is the day you find out they disagree. In Ssabi they are one record. Accepted quotes become orders, completed rentals become invoices, deposit then final, and the invoice and its payments go to QuickBooks without being typed again. Rental periods pro-rate and tax applies by rule or through your Avalara or TaxCloud account.

Change orders after the customer signs. When a client adds four units on Thursday for a Saturday show, you add a change order to the signed job with its reason. The signed quote stays intact, the change carries only the difference, the customer approves it the same way, and the final invoice picks it up. If the job got smaller, you issue a credit from the invoice. Flex's site does not describe a separate change order.

Availability that counts everything. Ssabi nets availability per item and per date across confirmed bookings, holds, sub-rentals, out-of-service units, and transfers between your warehouses. Damaged and in-maintenance units come out of the count, sub-rented gear goes in, and gear on the road between your buildings counts at neither until it is checked in. A conflict shows at quote time, not on load-out morning.

Freight priced on the quote. Ssabi builds load plans and compares carrier prices per leg, and freight and labor are priced on every quote rather than added later. Flex handles trucking and manifests; its site does not describe carrier price comparison.

A fee that fits a smaller shop. A published starting price with unlimited users is generous for a big company and heavy for a six-person one. Ssabi's flat monthly fee is set by the modules you use and the size of your team, with no per-booking fees and no percentage of your revenue, and a busy month costs the same as a quiet one.

How the pricing models differ

Flex publishes a starting point, plans from USD 510 per month with unlimited users, and leaves the rest to a conversation. That is a floor, not a menu: the pricing feature page on its site describes rate cards and discount rules inside the product rather than the price of the product itself. Expect a scoped quote.

Ssabi prices by module and team size. One flat monthly fee covers the modules you use for the size of team you have. No per-booking fees, no percentage of your revenue, no long-term contract, and your data is exportable on request if you leave. The number is not published yet; it is scoped with you in the demo before you commit to anything.

The honest comparison is the size of the team. Above a certain headcount Flex's unlimited users will be hard to beat on a per-seat basis. Below it, a fee scoped to a small team and a few modules is likely to land lower. Get both numbers.

Who each one is built for

Flex is built for live event production, touring, sporting events, awards shows, and the rental houses that supply them. Its center of gravity is the large warehouse that ships the same gear again and again and needs to know where every case is.

Ssabi is equipment rental software for businesses that send gear into the field and bill for the days it is out: equipment rental firms, event and staging companies, logistics providers, and infrastructure operators who answer for every unit in the field. Its center of gravity is the job record that the office, the warehouse, and the crew all read.

Whichever system you leave, Ssabi's onboarding is built to avoid a standstill. Your data comes in with a row-level preview before anything is written, you run both systems side by side until the numbers match, and a named onboarding contact stays with you until you cut over.
