When Ssabi belongs on your shortlist

Ssabi is an option for equipment rental and field-deployment businesses evaluating how quotes, stock commitments, warehouse work and billing fit together. It is in early access, with founder-led demonstrations and hands-on onboarding.

Rentman has established equipment, crew and warehouse products. Its public documentation includes multiple stock locations, internal and external subrentals, and equipment tracking. Those are capabilities to compare, not gaps to assume.

If your switching decision depends on barcode or RFID workflows, dedicated crew planning, or a mature public track record, start by establishing whether Ssabi meets those requirements. Do not replace a working system on the strength of a headline.

Compare the decisions, not the feature count

Run this fictional event-rental scenario in both demos

Acme Demo Co has ten units of Item 001 at Warehouse A. Four are committed to an overlapping job and three are unavailable for service. That leaves three available for the requested window. A new request needs five, creating a two-unit shortfall.

Ask the salesperson to identify the shortage, explain which quote states affect it, and show the options for resolving it. If Warehouse B can cover the gap, confirm the move can arrive before preparation starts. A positive count at another building does not by itself solve a delivery problem.

After the customer signs, add two more units to the fictional job. Ask to see the original scope, the new approval, the warehouse instruction and the billing effect. Finally, return fewer units than went out and show how the unresolved quantity is handled.

Record whether each step was demonstrated, described only, or outside scope. This gives both vendors the same test without declaring a winner before you have seen the work.

Compare pricing for the same team

Ssabi Starter is $600 per month for up to five seats and one warehouse. Growth is $1,800 per month for up to 25 seats and three warehouses. Scale is $4,800 per month with no cap on seats or warehouses. Annual billing is $6,000, $18,000 or $48,000.

Rentman separates platform, product and add-on charges, with paid power users and free basic users. Count the people who plan, quote or invoice separately from people who only execute assigned work. Include warehouse locations, scanning, crew requirements and accounting in the same comparison.

Ssabi is not automatically the cheaper choice. Get a current, like-for-like configuration from each vendor. Check Rentman's pricing and Ssabi's published plans.

Know the boundaries before you move

Ssabi's availability check uses the requested date window and warehouse. Overlapping consuming holds are summed conservatively across that window. Touching date endpoints overlap. A sent or tentative quote does not consume hard stock unless an explicit confirmed hold is placed.

The accounting connection is also specific: Ssabi sends summarized issued invoices and recorded payments to QuickBooks Online. It does not synchronize the rental catalog back and forth. Ask to see the accounting handoff if that is part of your switching decision.

Plan a migration around reconciled records

Start with a small fictional dataset in the demonstration: a catalog, customers, open jobs and record numbers. Confirm which import formats and record types are supported, inspect the preview, and agree the checks needed before cutover. Do not assume every attachment, historical record or custom field transfers automatically.

During onboarding, reconcile quantities and open jobs before retiring the previous workflow. Request an explicit scope for anything requiring manual preparation. A successful software switch is one the warehouse and office can verify together.

Is Ssabi the right Rentman alternative?

Shortlist Ssabi if its current workflow and published plan fit your operation, and you are comfortable adopting an early-access product with direct founder involvement. Keep Rentman on the shortlist when its documented crew, warehouse and tracking capabilities match requirements that Ssabi does not yet cover.

The useful result is a clear decision about fit. Bring the same fictional shortage, approved change and partial return to both demonstrations.
