Where Rentman is the better choice

Crew is the honest answer. Rentman sells crew scheduling as its own product line, with tiers that go from basic availability through planning to time registration, and a large share of its customers buy it for that reason. If your business is mostly people, with equipment as the second concern, Rentman's crew module is more mature than anything Ssabi ships today. Ssabi schedules crews, trucks, and gear together against real capacity and gives crews an app, but it does not try to be a workforce product.

The free basic user matters for large field teams. Rentman charges only for power users, the people who plan, quote, invoice, or schedule; warehouse staff, technicians, and freelancers who only execute tasks are free. A company with three planners and forty freelancers pays for three seats. Ssabi's flat fee is set by team size as a whole, so ask for both numbers.

Rentman has been in business since 2011, it has a self-serve trial you can start this afternoon without talking to anyone, and it has years of public reviews. Ssabi is in early access, every demo is run by the founder, and there are no reviews to read yet. If you need to see a long history before you commit, that is a real difference and it favors Rentman.

Where Ssabi is the better choice

The three numbers that drift. In most rental businesses the quote, the warehouse count, and the invoice are three records kept by three people, and month-end is the day you find out they disagree. In Ssabi they are one record. Accepted quotes become orders, completed rentals become invoices, deposit then final, and the invoice and its payments go to QuickBooks without being typed again.

Change orders after the customer signs. When a client adds four units on Thursday for a Saturday show, you add a change order to the signed job with its reason. The signed quote stays intact, the change carries only the difference, the customer approves it the same way, and the final invoice picks it up. If the job got smaller, you issue a credit from the invoice. Rentman's site does not describe a separate change order.

Availability that counts everything. Ssabi nets availability per item and per date across confirmed bookings, holds, sub-rentals, out-of-service units, and transfers between your warehouses. Damaged and in-maintenance units come out of the count, sub-rented gear goes in, and gear on the road between your buildings counts at neither until it is checked in. A conflict shows at quote time, not on load-out morning.

Pricing you can predict. Ssabi charges one flat monthly fee based on the modules you use and the size of your team. There are no per-booking fees and no percentage of your revenue, and a busy month costs the same as a quiet one. Rentman's price is a platform fee plus a monthly price per power user per product, plus add-ons for quoting, tracking, history, and extra warehouses, so the bill grows with every planner and every feature you switch on.

Your own record numbers. Invoice and quote series continue where they left off, imported records keep the numbers they had in your old system, and any record can be found by any number it has ever had.

Which is cheaper depends on how many people plan and quote. A shop with two planners and a large execution crew is likely to pay less on Rentman. A shop where most of the office quotes, schedules, and invoices, and that wants the quoting add-on and more than one warehouse, should get both numbers side by side.
